A band should advance every show in writing, even when the original booking was discussed by phone or in person. I would confirm the venue address, load-in location, parking instructions, arrival time, soundcheck, doors, set time, set length, curfew, and the name and mobile number of the day-of-show contact. Production details should cover the available PA, console, microphones, monitors, backline, shared equipment, stage dimensions, power, changeover time, and whether the venue has received the current stage plot and input list. The business portion should confirm the guarantee or percentage arrangement, ticket price, approved expenses, payment method, settlement timing, guest-list allowance, merchandise terms, and any age or access restrictions. Also clarify hospitality, dressing-room access, security, credentials, photography, and promotional responsibilities. I prefer sending a short written recap after the advance. That gives the band and venue one shared reference and exposes misunderstandings before show day, when they are easier and less expensive to correct.
