A settlement should create a shared record of what happened financially and operationally. At minimum, document the event date, venue, performers, ticket prices, tickets issued, paid admissions, complimentary admissions, refunds, gross ticket revenue, taxes, ticketing fees, and the resulting net receipts.
Then show the agreed compensation formula: guarantee, percentage, bonus threshold, door split, or combination. List every approved deduction separately, with receipts or supporting records when appropriate. Record merchandise sales and commissions separately from ticket settlement unless the agreement says otherwise.
The final document should state attendance, capacity, amount due, payment method, payment time, and the representatives who reviewed the figures. Both sides should receive a copy.
A useful show recap can also include set times, promotional activity, operational issues, audience response, merchandise results, and follow-up commitments. Preserve the agreement, advance correspondence, ticketing report, expense documentation, settlement sheet, and proof of payment together.
The goal is not complicated paperwork. It is one understandable record that allows either party to reconstruct the calculation later without relying on memory.
